How to Insert HEIC Photos into Word or PowerPoint
You drag an iPhone photo into a Word document and get a red X. Or you click Insert > Pictures in PowerPoint, pick a photo, and Office throws an error about an unsupported format or just shows an empty frame. I’ve watched this derail more than one report that was due in an hour, and the cause is nearly always the same: the photos are HEIC, the format iPhones shoot in by default, and Office on Windows can’t decode it out of the box.
This guide covers why it happens, the official codec fix and its very real limits, and the method I actually recommend: converting the photos to JPG first, which takes about 30 seconds and keeps your document working for everyone you send it to.
Why Word and PowerPoint refuse HEIC photos
HEIC (High Efficiency Image Container) has been the iPhone’s default photo format since iOS 11. Inside the container, the actual image data is compressed with HEVC (H.265), and that codec is patent-encumbered, so Microsoft doesn’t ship the decoder with Windows. Word, Excel, PowerPoint, and Outlook on Windows all lean on the Windows imaging system to decode pictures. No decoder in Windows means no HEIC in Office. It’s the exact same root cause as HEIC files refusing to open in Windows Photos.

What this looks like in practice:
- A red X or empty picture frame where the image should appear.
- An “unsupported format” or “picture can’t be displayed” style error when inserting.
- The photo shows a thumbnail in the Insert dialog but fails once placed.
- The file simply doesn’t behave like other images anywhere in the app.
One important nuance: this is mostly a Windows problem. Office for Mac generally handles HEIC fine because macOS decodes the format natively, so Mac users often don’t understand what you’re complaining about. Word and PowerPoint in the browser are less predictable; reports on Microsoft’s forums are mixed, and in my experience HEIC in the web apps is not something I’d rely on either way. If your document needs to work everywhere, that inconsistency is itself a reason to prefer JPG.
Option A: install Microsoft’s codec extensions
The official fix is to give Windows the decoders it’s missing. Two pieces come from the Microsoft Store:
- Open the Microsoft Store app on Windows 10 or 11.
- Install HEIF Image Extensions, which is free and handles the container format.
- Install HEVC Video Extensions, which costs about $0.99. This is the one that actually decodes the compressed image data in
.heicfiles, so the free extension alone usually isn’t enough. - Close Word or PowerPoint completely, reopen it, and try Insert > Pictures > This Device again.
Once both extensions are installed, current Microsoft 365 builds can insert HEIC photos directly, and drag-and-drop or copy-paste generally works too. There’s also a long-standing free variant called “HEVC Video Extensions from Device Manufacturer,” but Microsoft has made it hard to find and its availability comes and goes, so I wouldn’t plan around it.
The honest limits of the codec route
I’m not against the extensions, but you should know what they don’t fix:
- They only fix your machine. The codecs teach your copy of Windows to decode HEIC. Depending on your Office version and how the picture is inserted, the image data can remain in HEIC form inside the document, and a recipient without the codecs may open your file to find blank boxes. If the document is going anywhere beyond your own PC, that’s a real risk.
- Older Office versions are hit and miss. Threads on Microsoft Q&A about Word 2019 and similar perpetual versions show mixed results even with both extensions installed.
- Some features stay broken. PowerPoint’s Photo Album dialog, for example, reportedly still doesn’t list
.heicfiles even on machines where regular insertion works. - Work laptops often can’t install them at all. If your Microsoft Store is managed by an IT policy, the Store route is simply closed to you.
- It can quietly stop working. Users on Microsoft’s forums (and I’ve seen this myself) report HEIC support breaking after updates until the extensions are reinstalled.
If you insert iPhone photos into documents once in a while, maintaining codecs is more hassle than it’s worth. Which brings me to the method I actually use.
Option B (recommended): convert to JPG first
JPG is the one image format that every version of Word and PowerPoint, on every platform, from roughly the last 25 years, displays without question. Convert your HEIC photos to JPG before inserting them and the whole problem disappears, for you and for everyone who ever opens the document.

Workflow tips for documents with lots of photos
Slide decks and reports rarely need just one image. A few habits that save real time:
- Convert everything in one pass. Select all the HEIC files at once, let them convert together, and download the ZIP. I’ve gone deeper on this in the batch converting HEIC to JPG guide.
- Extract the ZIP to a dedicated folder next to your document, something like
report-images-jpg. It keeps the originals untouched and makes reinserting or editing later painless. - Multi-select on insert. In PowerPoint, Insert > Pictures > This Device lets you Ctrl-click or Shift-click many JPGs and place them in one go. Photo Album also behaves normally once the files are JPG.
- Drag straight from File Explorer. Dropping JPGs onto a slide or into a document body works reliably, which was never a given with HEIC.
- Watch the document size. Lots of full-resolution photos will balloon a
.docxor.pptx. Use Picture Format > Compress Pictures in Office after inserting to bring it back down. - Getting the photos off the phone first? If your source material is a camera roll full of iPhone shots, move them to the PC by cable or cloud first, then convert the whole set in one batch.
- Need transparency or razor-sharp screenshots? Convert those specific images to PNG instead; JPG for photos, PNG for graphics is a good default split.
The bottom line
Word and PowerPoint aren’t broken, and neither are your photos. Windows just lacks the decoder HEIC needs, and Office inherits that gap. You can patch your own machine with Microsoft’s two Store extensions for about a dollar, but that fixes exactly one computer and leaves your document’s portability to chance.
